Regular beverage equipment maintenance ensures hygiene, prevents breakdowns, maintains drink quality, extends equipment lifespan and helps avoid costly repairs and health inspection failures. It ranges from daily tasks, such as wiping surfaces, sanitizing nozzles and checking carbonation levels to weekly and monthly activities, including replacing water filters, cleaning components and flushing the system and annual professional maintenance.
“Consistent upkeep prevents contamination, eliminates harmful bacteria and removes residues that affect flavor, ensuring your equipment performs efficiently and reliably,” said Farmer Brothers Senior Director of Revive Mike Fraser. “Not only does it help extend the lifespan of your equipment, it also reduces costs associated with down time and breakdowns and ensure you meet regulatory and industry standards.”
Below is a helpful maintenance guide, including tasks and the regularity at which they should be conducted.
Daily Tasks
Depending on the machine, there are several things you should do at the end of each day to keep your machine in tip top shape.
- Espresso and Bean-to-Cup Machines
- Empty and rinse drip trays, waste bins and dregs containers.
- Flush/clean brew group or run auto-clean cycle.
- Clean milk lines, frothers and steam wands (flush with water and cleaning solution).
- Wipe down grinders, hoppers and machine exterior.
- Batch Brewers
- Empty/clean brew baskets and airpots and/or servers.
- Rinse spray heads and baskets.
- General Area
- Wipe counters, clean splash areas, restock cups/lids/syrups.
Weekly Tasks
Each week you should also:
- Run milk cleaning cycles with manufacturer’s detergent for super-automatics.
- Deep clean brew groups and grinders, including vacuuming out coffee grounds.
- Descale steam wands if manual machines are used.
- Inspect seals and gaskets, being sure to look for wear or leaks.
- Check calibration of batch brewers, including brew volume and temperature.
Monthly Tasks
Each month, you should take a slightly deeper dive, making sure to:
- Check, and if needed, replace water filter cartridges. This depends on volume and water hardness.
- Inspect hoses and connections for leaks.
- Clean and inspect grinders more thoroughly (burrs, alignment).
- Test drink recipes for consistency (taste, yield, temperature).
Quarterly Tasks
Professional quarterly service visits are recommended. These services should include:
- Inspect of boilers and probes for scale buildup.
- Group head gasket replacement (espresso).
- Calibration of brew ratios, grind, water temperature and milk foaming.
- Electrical and pressure checks.
- Cleaning, and if needed, replacement of air filters, if the machine has one.
Annually Tasks
Once a year you should have a full preventive maintenance service by a certified technician. This will include:
- Replacing worn parts (gaskets, O-rings, seals, valves).
- Replacing water filters (full system flush).
- Inspecting pumps, motors and heating elements.
- Recalibrating machine settings.
- Cleaning internal components, which are not normally accessed in daily or weekly cleaning.
“In short, a daily clean, weekly deep clean, quarterly professional service and annual overhaul will keep your equipment in tip top shape and ensure quality and performance for years to come,” said Fraiser.
